VFIS P&C Renewal Questionnaires are changing!

You gave feedback. We listened. The VFIS P&C Renewal Questionnaires is moving from online screens to fillable PDFs for convenience and faster processing!

Many brokers had been printing PDFs from the Producer Center athnd completing them by hand then either entering the data through the online screens or scanning the PDF for emailing purposes (double the work!). A fillable PDF solution allows for single data entry. Please review the information below and check out the Frequently Asked Questions section.

 

System Requirements for fillable PDF:

  • Desktop Windows / Mac users: Adobe Reader 11 or newer
  • Mobile Devices (iPad / Android Tablets): Adobe Reader 15.2 or newer

Note: We have been able to successfully test the fillable PDF solution on Adobe Reader 15.2 and newer on our devices. However, each mobile device could behave differently so we strongly recommend that you test each device you plan to use for compatibility.

Brokers who currently receive their renewal questionnaires online today that cannot update to a compatible version of Adobe Reader will need to contact the Client Services team (csapps@glatfelters.com) and request that their Renewal Questionnaires be distributed through the U.S. Postal Service in printed format.

 

Renewal Questionnaire Workflow

1.      GIG generates the Renewal Questionnaire and makes it accessible in the Producer Center

2.      Broker accesses the Renewal Questionnaire and saves a copy to their computer/network

3.      The fillable PDF is completed and saved on the Brokers computer/network

4.      Broker sends email to Underwriting with completed Renewal Questionnaire attached

To ensure compatibility with your system, we are providing the attached PDF for you to confirm everything is working as expected for you.   Please follow the below steps with the PDF below:

 

  1. When a value is changed, an "U"pdate indicator should appear in front of the line.  Be sure to change text as well as a Limit checkbox.  Note:  Depending on the device, the "U"pdate indicator and the value changed may not show in red.



  2. Verify you see the dropdown for the PE Class within the vehicle schedule.
  3. Select the "Delete" checkbox.  An "X" should appear within the checkbox (example above).
  4. After changing the values in the PDF, you should be able to “Save As” the PDF to your computer/network and reopen it with your changes intact.

 

How to check current Adobe Reader version

Windows PC

Click on the start menu and search for “Reader”, then open the Acrobat Reader version that is displayed by clicking on the icon

 

Once Adobe Reader is open, click on the “Help” menu, then select the “About Adobe Acrobat Reader” option

 

Your version will be displayed in a window similar to the one below

 

Macintosh

Click on the Finder icon

 

Search for “Reader” then open the Acrobat Reader version that is displayed by clicking on the icon

 

 

 Once Adobe Reader is open, click on the “Acrobat Reader” menu, then select the “About Adobe Acrobat Reader” option

 

 

Your version will be displayed in a window similar to the one below

 

 

iPAD

Click on the “Settings” icon

 

Navigate to the Apps section and click on “Adobe Reader”.  A window similar to the one below will show you the version of Adobe Reader installed on the device

 

Android

1.      Open “Settings”

2.      Access “Applications”

3.      Select “Application Manager”

4.      Select “Adobe Acrobat”

5.      The version number will be listed below the “Adobe Acrobat” title.

Frequently Asked Questions

 

When will the Fillable PDF solution for Renewal Questionnaires take place?

  • For VFIS P&C, these updates will be effective for new Renewal Questionnaires generated on 02/01/2017 and later

 

What happens to the Renewal Questionnaires that are in the current system?

  • The current Renewal Questionnaire systems will remain available until 04/01/2017, at which time they will be decommissioned and will no longer be available.  By 04/01/2017, all Renewal Questionnaires that were generated in the old system for VFIS P&C should have been returned to the Underwriting staff.

 

Why is the system being updated to a Fillable PDF solution?

  • We have received a lot of broker feedback indicating that the conveniences of a fillable PDF solution for Renewal Questionnaires far outweighs the benefits of being able to enter the information through online screens.  Many brokers had been printing the PDF off the Producer Center and completing them by hand, then upon completion would either reenter the data through the online screens or scan the PDF for emailing purposes.  A fillable PDF solution allows for single data entry on the part of the broker.

 

Will I still be able to enter my information through the online screens?

  • With this enhancement, the ability to enter your Renewal Questionnaire online will no longer be available.  

 

How do I submit my Renewal Questionnaire if there are no online screens to submit it through?

  • With this enhancement, Renewal Questionnaires should be emailed directly to Underwriting.

 

How does this enhancement impact your ability to do straight-through processing in the future?

  • This enhancement does not impact our ability to move towards a straight-through processing solution in the future.  Each of the data elements on the fillable PDF solution has a unique field name which can be mapped to other systems in the future.


What happens if I cannot update my version of Adobe Reader to a compatible version?

  • For those brokers who currently receive their Renewal Questionnaires through the Producer Center that cannot update to a compatible version of Adobe Reader; they will need to contact the Client Services team (csapps@glatfelters.com) and request that their VFIS P&C Renewal Questionnaires be distributed through the U.S. Postal Service in printed format.

 

Will I be able to get a revised Renewal Questionnaire which reflects a recent endorsement?

  • Yes.  Each time the Renewal Questionnaire is generated from the Producer Center, the most recent policy version, including all endorsements, will be included.

 

Will I be able to email the Renewal Questionnaire from within the Producer Center?

  • Yes.  You will be able to email the Renewal Questionnaire from within the Producer Center.  It will create an email with the PDF as an attachment.


Will I have more time to return the Renewal Questionnaire with the new system?

  • The VFIS P&C Renewal Questionnaire pullback timing is being shortened from 60 days to 45 days which will give you an additional 15 days to work the account.  This means that when the account is 45 days prior to the renewal date, the Renewal Questionnaire will no longer be able to be generated.
